Most chauffeur operators change dispatch software twice before finding the right fit. This guide is designed to make it once.

Start with the contract, not the demo

The three most expensive mistakes we see are: per-ride commission pricing, mandatory payment-processor lock-in and a 24-month minimum term. Any one of these can silently double your true cost of ownership.

Ask for a flat monthly platform fee, the freedom to keep your own Stripe or Adyen account, and a month-to-month option (even if it's 15% more expensive on paper — you'll never need to use the exit clause if the product is good).

The 12 questions to ask every vendor

1. What is your true monthly cost at 1,000 rides / month, all-in? 2. Do you take a per-ride commission — ever? 3. Can I keep my existing payment processor? 4. Is the driver app white-labelled with my brand in the App Store? 5. Do you support pre-authorisation and post-trip adjustment for damage/tolls?

6. What is your API rate limit and is there a webhook for every trip state? 7. Which corporate booking platforms (GroundSpan, Deem, CorporateCarOnline) do you integrate with natively? 8. What is your uptime SLA and how do you compensate? 9. Who owns my customer data if I leave?

10. Can I export every trip, driver, invoice and customer record in one click? 11. How long does onboarding take and who does the driver training? 12. What is the roadmap for the next 90 days — and can I see the last four release notes?

Region matters more than feature checklists

A dispatch platform built for New York black-car will feel wrong in London (no TfL feed, no PHV pre-booking window), and vice versa. Prioritise vendors with a live product in your region — see country-specific solutions for the US, UK, France and Australia.

Check that fares, taxes and payout rules are pre-configured for your market. Retrofitting a US-first platform to French TVA rules or UK PHV compliance costs more than switching vendor.
